Ten years together deserved time with the people who had been part of the story. For one Swiss couple, that meant bringing around 25 family members and friends to Ibiza for a personal anniversary celebration in a private villa.

The brief combined a ceremony-style gathering with an informal reception: a decorated arch, food served among the guests, cocktails, magic and music. AVANA arranged the villa and coordinated the celebration, with two team members on site. The wider stay also included a beach club gathering and a private boat day around Formentera.

The Brief: A Villa, a Ceremony and Time Together

The couple wanted a place where their closest people could gather for a meaningful celebration of their relationship. A villa offered a shared setting for the ceremony, reception and music, while also providing accommodation for part of the group.

The property could accommodate 11 overnight guests. The celebration itself brought together approximately 25 people, so the event arrangements had to be discussed separately with the owner before the booking was finalised.

Finding a Villa That Could Host the Celebration

Finding the right property was central to the project. Alongside the bedrooms and outdoor space, we needed a villa whose owner would accept the proposed celebration, visiting guests and supplier arrangements.

AVANA worked with the owner to agree the event in advance. Our local network helped us focus on suitable event villas and discuss the plans directly with the people responsible for the property.

Planning a similar villa anniversary?

  • Guest numbers: confirm overnight occupancy and the number attending the celebration separately.
  • Event fees: a separate fee commonly applies on top of the villa rental. Ask what it covers.
  • Minimum stays: in our villa searches, four to seven nights is a common requirement, depending on the property and dates.
  • Music and access: clarify the proposed sound setup, timings, supplier access and property conditions before committing.

Suitable properties are a limited part of the rental market. Owner agreement is one part of planning; the event must also fit the applicable local requirements.

A Ceremony Setting with Personal Details

A ceremony arch and chairs created a focal point for the gathering. Tree decorations and dreamcatchers carried the styling into the surrounding outdoor space, bringing the different parts of the celebration together visually.

AVANA coordinated the decorator, furniture and decorative elements as part of the wider setup. Photography and videography were also arranged to document the celebration and the people sharing it with the couple.

Flying Buffet, Cocktails and Entertainment

An Informal Reception

The couple chose a flying buffet, with food served among the guests by the catering team. This suited the informal feel of the anniversary and gave family and friends room to mingle throughout the reception.

We organised catering, waiting staff and a professional bartender preparing cocktails. Food and drinks service formed part of the same coordinated plan as the ceremony setup and entertainment.

Magic, Music and Lighting

Sean Christopher brought close-up magic to the celebration, adding another way for guests to share a moment together. Music was provided by Denace 2 Society.

Alongside the artist bookings, AVANA arranged the sound system, DJ setup, lighting and supporting equipment. Coordinating the performers and production together helped us bring the technical arrangements into the overall event preparation.

Two AVANA Team Members on Site

Two members of our team were present to coordinate the preparation, celebration and pack-down. Their role connected the artists, catering team, decorator and equipment suppliers, giving the couple a point of contact throughout the event.

  • Before the celebration: coordinate supplier arrivals, decoration, furniture and technical setup.
  • During the event: liaise with the artists, catering team and other suppliers as the celebration unfolded.
  • Afterwards: oversee the supplier coordination for dismantling and collection.

Beyond the Villa: A Beach Gathering and Formentera Boat Day

The anniversary also gave the group a reason to spend more time together on the island. Alongside the villa and its celebration, the couple booked two further experiences through AVANA.

☀ A Beach Club Gathering

We arranged a privately reserved area within a beach club, with beach beds and a group menu served in the beach area.

Private return transfers for 25 people completed the arrangements, covering the journey to the venue and back.

⚓ A Day Around Formentera

The group also chartered Wooden Swallow for a private celebration at sea, spending a day together in Formentera’s turquoise waters.

The event boat gave this part of the anniversary its own setting, with the group sharing the experience aboard one vessel.

One Anniversary, Three Shared Experiences

The villa gathering was the heart of the celebration: around 25 guests, a personal ceremony setting, an informal reception and entertainment. The beach club and boat day extended that time together beyond the main event.

For AVANA, the project brought together venue sourcing, event production and the practical details of a group stay. Working across all three experiences allowed us to coordinate the villa arrangements, suppliers and transport around the same couple and their guests.
