A 40th Birthday in Ibiza: 4 Days, 26 Guests, 1 Hotel

For her 40th birthday in 2026, a French client wanted to bring 26 friends and family members together in Ibiza. The celebration grew into a four-day stay with an exclusive hotel booking, a private boat outing, a birthday dinner and time at some of the island’s best-known venues.

AVANA worked with her over seven to eight months to shape the trip around her wishes. Accommodation, airport pickups, group dining, activities and private transfers were planned together, down to the birthday cake and the Champagne she wanted served.

The Brief: Bring Everyone Together for a 40th Birthday

The accommodation search was one of the first and most important parts of the project. The client wanted her guests to stay together, with a shared base for breakfast, time between outings and the birthday celebration itself.

A single villa was not a suitable solution for this group’s requirements. We explored alternatives and arranged an exclusive booking at La Pandilla, reserving all its rooms for the stay. Breakfast was included, and the hotel also became the setting for the private birthday dinner.

The Four-Day Birthday Programme

The itinerary balanced shared outings with a celebration at the hotel. Private transport connected the different parts of the stay, including airport arrivals and departures.

Day One: Arrival and Experimental Beach

Guests were collected from the airport and transferred to the hotel, where our team welcomed them. Once they had checked in, private transfers took them to Experimental Beach for the opening gathering.

We arranged a group reservation with a set menu and an agreed drinks package that included cocktails. The meal gave everyone a first opportunity to come together in Ibiza, with return transport to the hotel organised afterwards.

Day Two: Wooden Swallow and the Birthday Celebration

The second day included a private outing aboard Wooden Swallow, with a food and drinks package arranged for the booking. The boat day added time on the water to the celebration before the evening back at the hotel.

That evening, the hotel hosted the birthday dinner. A decorator styled the tables, the menu had been tailored to the client’s wishes, and a specially designed cake was prepared for the occasion. Her chosen Champagne was delivered to the hotel and chilled ready to serve.

Day Three: Padel, Ushuaïa and Dinner

The following day combined padel with a Ushuaïa VIP table booking. We coordinated the reservation and transport as part of the wider schedule.

Dinner followed at Blue Marlin, with a group menu and drinks included in the agreed arrangement. Organising the group dining in advance meant the meal and its inclusions could be planned alongside the rest of the day.

Day Four: Departure

The final day brought the stay to a close with checkout and prearranged airport transfers. Departure transport formed part of the same coordinated programme as the arrival pickups and journeys between activities.
